Payment and Dues Policy

1. Annual Dues
1.1 Dues Amount
The standard annual membership dues are $200.00 per year, as established by the bylaws of the Order of Mithras. The Inner Circle reserves the right to adjust the annual dues amount. Any change to the dues amount will be communicated to members through the App prior to the start of the applicable dues year.
1.2 Life Members
Members who have attained Life Member status in accordance with the bylaws (25 or more years of membership and age 70 or older, upon approval by the Inner Circle) are exempt from annual dues. Life Members' account statements in the App will reflect a $0.00 balance with a "Life Member — Dues Exempt" notation.
2. Due Date and Late Penalty
2.1 Due Date
Annual dues are due on or before August 31 of each year.
2.2 Late Penalty
A penalty of $25.00 is automatically assessed on September 1 for any member whose dues have not been received by August 31, consistent with Article V of the bylaws. The App will reflect the penalty as a separate line item on the member's account statement.
2.3 Consequence of Non-Payment
Consistent with Article V of the bylaws, members who remain in arrears after a registered letter notice has been mailed and who do not remit dues plus any applicable penalties within ten (10) days of that mailing are subject to a declaration of vacancy in their membership. The Treasurer will flag accounts in this status as "At Risk" in the administrative dashboard. The ultimate decision to declare a vacancy rests with the Organization's officers in accordance with the bylaws.
3. Payment Methods
3.1 PayPal
Members may pay dues and applicable guest fees through the App using PayPal. PayPal processes all payments; the Organization does not store payment card numbers or bank account information. PayPal's terms of service and privacy policy govern your use of their payment service.
3.2 Manual Payments
Members who prefer to pay by check or other means may do so by remitting payment directly to the Treasurer. The Treasurer will manually record such payments in the App. Checks should be made payable to "Order of Mithras."
3.3 Future Payment Options
Automatic recurring annual payment (autopay) is planned for a future release of the App. When available, members will be able to authorize an annual PayPal charge processed automatically prior to the August 31 due date.
4. Guest Fees
4.1 Male Guest Fee
Members inviting male out-of-town guests to the annual ball are required to prepay a guest fee equal to 50% of the current annual dues (currently $100.00) per male guest, consistent with Article XII of the bylaws. Guest fees are paid through the App at the time of guest submission and are non-refundable once the submission is finalized.
4.2 Female Guests
No fee is charged for female call-out guests, female guests, or viewers submitted in accordance with the bylaws.
5. Refund Policy
5.1 Annual Dues
Annual dues are non-refundable once paid. If a member resigns or their membership is terminated after dues have been paid, no refund of dues will be issued.
5.2 Late Penalties
Late penalties assessed in accordance with Section 2.2 are non-refundable. A penalty once assessed will not be waived except by affirmative action of the Treasurer and at least one additional officer.
5.3 Guest Fees
Guest fees paid through the App are non-refundable once the guest submission has been finalized. If a guest submission is canceled prior to finalization, any payment made will be refunded subject to PayPal's processing timelines (typically 3–5 business days).
6. Payment Records and Statements
Members may view their full account statement within the App at any time. Statements include all dues charges, payments received, penalties, credits, and adjustments, with dates and descriptions. The Treasurer maintains authoritative records; in the event of a discrepancy between a member's App statement and the Treasurer's records, the Treasurer's records govern. Members who believe their statement contains an error should contact the Treasurer at secretary@orderofmithras.com.
7. Payment Disputes
If a PayPal transaction is disputed or reversed by a member, the Organization reserves the right to treat the amount as unpaid and apply the applicable late penalty if the due date has passed. The Organization will work with the member in good faith to resolve payment disputes but is not obligated to waive penalties resulting from a reversed payment.
